How do I search the database?

Quick Search

To carry out a quick search of the catalogue, simply enter a word or phrase into the AnyText box and click on the Search button.
We would recommend avoiding the word Coventry as this appears in around 80% of our records and may result in many more records than are directly relevant to your search.

Other search options

If you know the title of a particular object, work of art or archive then enter this name in the Title box. This does not include the name of an object, work of art or archive such as doll, watercolour or letter. Terms such as these should be entered in the AnyText box instead. Click on Search to find everything with this title.
The description box is for when you know what the items looks like, contains or is about, but aren't sure of it's formal title. Simply enter the correct term into the box and click on Search.

Word Options

You may select on of these three options before carrying out a search.
AND will search the database for all of the words entered into a field. For example a search for Lady Godiva will find all records which contain the words Lady AND Godiva even if they don't appear next to each other.

OR will search the database for records containing one of the words entered into a field. For example a search for Lady Godiva with OR selected will find all records which contain either Lady OR Godiva. This will typically produce more results than a search with AND selected.

PHRASE will search the database for records containing the complete phrase. In this instance a search for Lady Godiva will only find records where the words appear as a complete phrase.

Field Options

The field options work in the same way except these refer to searches with terms entered in more than one of the fields above.

AND will search the database for records which contain all of the terms entered. For example a search for Lady Godiva in the Title box and painting in the Description box will only find records which contain both. The same search with OR selected will find records which have either of these terms.

Search Results

How do I browse through my search results?

The row of numbers across the top of the page indicates the number of pages of results returned. Simply select a page number to be taken to this set of results. Alternatively use the Next and Previous buttons to move through the results one page at a time.

How do I see a detailed record?

Simply click on the number next to the record you want to see and the full record will appear. To return to the full set of results, click on the red highlighted numbers that appear near the top of a record like this:

Record: 1 of 4

Too many or too few results

Sometimes you will find that your search results are not quite right. There may be too few results or too many. In these cases the Widen, Narrow or Exclude search options may help.

To use any one of these simply click on the Search button at the top of your search results. This will take you back to the Search screen.

Type in the additional terms you wish to use and then press one of the buttons that have appeared down the right hand side.

Widen - Extends an existing search result to also include records that match those specified by the search term. Use this option when you have too few initial results.

Narrow - Reduces an existing search result so that it only contains records that match those specified by the search term. Use this option when you have too many initial results.

Exclude – Will exclude any records containing the search term from your original set of results.
